Follow this guide from top to bottom, and your business

will be taking bookings today: create your account, verify it,

start your 30-day free trial, add locations and pros, and

build the schedules your clients will book against.

Create a new RealTime Appointment account by entering company details, email, and password during the signup process.

Create your account (Sign up)

Registration takes about two minutes and asks only for what's needed to set up your booking system.

  • Go to webapp.realtimeappointment.com/signup.
  • Enter your company name, business sector (e.g., Healthcare, Salon & Beauty), and country.
  • Add your first and last name, email address, and choose a password. Your email and password become your login details.
  • Accept the Terms of Use and select Create account.

Use an email inbox you check often — your one-time verification code (next step) and all account notices are sent there.

Verify your account (OTP verification)

To confirm you own the email address, we send a one-time password (OTP) the moment you sign up.

  • Check your inbox for a message from RealTime Appointment containing a 6-digit code.
  • Enter the code on the verification screen and select Verify.
  • Didn't get it? Check spam, then select Resend code. Each code works once and expires after a short time for your security.

Your account isn't active until the OTP is verified — this protects your business data and your clients' bookings from unauthorized sign-ups.

Log in to the RealTime Appointment admin dashboard to manage appointments, schedules, locations, and staff.

Sign in to your dashboard

  • Go to webapp.realtimeappointment.com/admin.
  • Enter the email and password you registered with, then select Sign in.
  • You land on your dashboard: today's appointments, live statuses, and quick actions for locations, pros, and schedules.

Signing in on a shared or public computer? Sign out from the account menu when you're done.

Reset your forgotten RealTime Appointment account password using the email verification code.

Reset a forgotten password

  • On the sign-in screen, select Forgot password?
  • Enter your registered email and select Send reset code. A one-time code arrives in your inbox.
  • Enter the code, then choose a new password and confirm it.
  • Sign in with your new password. Existing appointments and settings are untouched.

Reset links and codes expire quickly. If yours has expired, just request a fresh one — only the newest code is valid.

Start your 30-day free trial (add a credit card)

Every new account includes a full-featured 30-day trial. Adding a card up front means zero interruption when the trial ends — and you can cancel any time before then without being charged.

  • From the dashboard, open Settings → Billing.
  • Select Add credit card and enter the card number, expiry date, CVV, and billing address.
  • Review your plan (see Pricing) and confirm. Your trial start and end dates are shown on the Billing page.
  • Your card is not charged during the trial. The first payment happens only after day 30, and we email you before it does.

Card details are processed by our secure payment provider — full card numbers are never stored on RealTime Appointment servers.

View or update your card on file

  • Open Settings → Billing. The card on file is shown with its brand and last four digits only.
  • Select Update card to replace it with a new card — for example, when your card expires or you switch business accounts.
  • Enter the new details and select Save card. The new card takes over from the next billing cycle; there's no gap in service.
  • Your billing history and upcoming charge date are listed on the same page.
Create and configure a new business location with address, working hours, phone number, and time zone.

Add a location

Locations are where appointments happen — a clinic, a salon branch, a service depot, or a public office. Each location has its own address, hours, and calendar.

  • Go to Locations → Add location.
  • Enter the location name (e.g., "Downtown Branch"), address, phone, and time zone.
  • Set the location's default working hours — you can fine-tune these later per weekday.
  • Select Save location. Repeat for every branch; there's no limit on how many you manage from one account.

Clients booking online choose a location first, so name locations the way your clients know them — not by internal codes.

Add staff members or service professionals and assign them to one or multiple business locations.

Add pros and assign them to locations

Pros are the people clients book: doctors, dentists, stylists, technicians, inspectors, counter staff. Every appointment belongs to a pro at a location.

  • Go to Pros → Add pro.
  • Enter the pro's name, photo (optional), services they perform, and contact details for notifications.
  • Under Assigned locations, tick each location where this pro works. A pro can serve one branch or several.
  • Set the pro's individual working days and hours at each assigned location — these can differ from the location's general hours.
  • Select Save pro. The pro now appears in the booking flow at their assigned locations only.

Assigning pros to locations is what keeps bookings accurate: clients can only book a pro at a branch where that pro actually works, on days they're actually there.

Set up fixed appointment time slots, working hours, breaks, and online booking availability.

Build schedules for fixed appointments

Fixed appointments are exact, pre-defined time slots — 9:00, 9:30, 10:00 — rather than open-ended windows. Clients pick a slot; the system guarantees no double-booking.

  • Go to Schedules → Create schedule and choose the location and pro the schedule applies to.
  • Set the slot duration (e.g., 15, 30, or 60 minutes) — this can differ per service.
  • Define the daily slot pattern: start time, end time, and any breaks (e.g., lunch 12:00–1:00, no slots offered).
  • Choose how far ahead clients may book and the cut-off for same-day bookings.
  • Select Publish schedule. Slots appear instantly on your online booking page.

Once a slot is booked, live status takes over: if the day runs late, everyone holding a later slot is notified automatically.

Set weekly working days and manage holiday dates separately to control appointment availability.

Set working days and holidays — separately

Working days and holidays are managed as two separate settings, so a public holiday never silently deletes your regular weekly pattern, and your weekly pattern never accidentally opens bookings on a day you're closed.

Working days — the repeating weekly rhythm:

  1. Go to Schedules → Working days for a location (or an individual pro).
  2. Toggle each weekday on or off — e.g., Mon–Fri on, Sat–Sun off — and set hours per day. Slots are only generated on days that are switched on.

Holidays — one-off dates layered on top:

  1. Go to Schedules → Holidays and select Add holiday.
  2. Pick the date (or date range) and give it a label — "New Year's Day," "Staff training," "Renovation week."
  3. On holiday dates, no fixed-appointment slots are offered, even if that weekday is normally a working day. Your weekly pattern resumes automatically afterward.
  4. If a holiday is added after bookings exist on that date, affected clients are flagged for rescheduling and notified.

Keeping the two separate means December takes five minutes to set up: your Mon–Sat working pattern stays untouched while you drop in the holiday dates on top.
